Understanding Your Lead Pipeline

Every lead our ISA team calls is tracked in your GoHighLevel pipeline in real time. Here's what each stage means and how leads move through the system.

Pipeline Stages

Attempting Contact

Our team is actively trying to reach this lead. They haven't been spoken to yet. Leads here are in the call queue and will be dialed according to our follow-up schedule.

Active Follow-Up

We made contact but the lead isn't ready to commit yet. They're being nurtured with regular touchpoints on the follow-up schedule.

Appointment Scheduled

A win. Our ISA set an appointment for your agent. The appointment details are in the contact's notes in GHL.

Dead

The lead confirmed they are not interested, already under contract, or not a fit. These are removed from the active call queue.

Bad Data

The phone number is wrong, disconnected, or belongs to someone else. These contacts are flagged for your review — you may want to find updated contact info.

DNC — Do Not Call

The lead requested not to be contacted. Federal law requires we honor this immediately. These contacts are permanently removed from all calling queues.

How Leads Move Through the Pipeline

New Lead → Attempting Contact → Active Follow-Up → Appointment Scheduled
                                      ↓
                              Dead / DNC / Bad Data

Lead movement is automatic — our ISAs update the stage after every call based on what happened.

Call Activity in GHL

Every call our team makes adds an activity entry to the contact's timeline in GHL:

  • Call date & time
  • Call duration
  • Outcome (what happened on the call)
  • Agent notes (what was discussed)
  • Next follow-up date

You can see the full call history by opening any contact in GHL and scrolling to the Activity tab.

Follow-Up Schedule

For leads that don't answer, our team follows this callback sequence:

Day 2 → Day 4 → Day 7 → Day 15 → Day 30 → Day 45 → Day 60 → Day 90

After 90 days with no contact, leads are flagged for your review. You can choose to re-activate them, move them to Dead, or keep them for a future campaign.
